General Summary
Provide administrative and clerical support for the Executive team, including members of the Senior Team, Robert Duncan and General Counsel. Assists with event planning and coordination, special projects and miscellaneous assignments.
Essential Job Functions
1. Performs a variety clerical and administrative functions for all members of the Duncan Aviation Executive team through drafting various correspondence, compiling presentations, scheduling and preparing for in-person and virtual meetings, reviewing and distributing mail, ordering office supplies and materials, and other administrative duties assigned.
2. Supports the planning, coordination, and execution of Duncan Aviation’s State of the Company presentations and Town Halls, supporting events that host up to 1,500 team members over a multi-day period. Responsibilities include developing timelines, coordinating cross-functional inputs, managing logistics, and ensuring a high-quality, consistent experience across all sessions.
3. Oversees the Quarterly Managers Meetings, including gathering and organizing presentations from each department, creating and managing meeting communications and invitations, partnering with Senior Management Team (SMT) members to develop discussion topics and questions, and facilitating the meeting to ensure smooth delivery and engagement.
4. Manages the company-wide Friday Update communication, collecting and synthesizing updates from team members and SMT, drafting and organizing content, and distributing a clear, accurate, and engaging weekly email to all team members.
5. Assists with event planning, coordination and day-of event support for a variety of events across all locations. Example – LNK quarterly Manager parties.
6. Completes assigned tasks with the highest level of confidentiality and handles personal and private information regarding Executive team members and the company in a discrete and confidential manner.
7. Performs other duties as assigned.

Education and Experience
· High school education or equivalent required
· Minimum one year previous clerical experience required
· Proficiency with Microsoft software (Word, Excel, Project, etc.) required
